Blueyard offers coaching sessions for arts professionals and/or arts venues in two specialist areas:

Programming

Blueyard coachingWe offer a one-day workshop in Understanding Deals, led by Andrew Aughton.  This workshop, usually delivered in your venue, uses actual (anonymous) models of deals, sales patterns, marketing campaigns, monitoring systems and financial outcomes/settlements to give the subject a genuine and relevant application. It is designed to help programmers and marketing staff develop an understanding of the maths and finance surrounding theatre and concert deals – seen from both sides of the desk!   Andrew says of this course:

‘I can’t begin to count the number of times over the years when a marketing team has asked me to ‘do them a list of priority shows.’  What they mean, of course, is: ‘how do I work out which shows I should spend money on, and when should I stop spending?’  The answers lie in simple calculations and an understanding of the deals and how they unfold as ticket sales increase. This workshop explores all these areas and makes the complex simple.’

At the end of the workshop, your marketing and programming staff will know:

  • how to calculate break-even points, with or without overheads
  • how to monitor, understand and explain ticket yield, and how it affects outcomes
  • how to calculate the points of break-even, movement into profit and movement into split
  • how to use deals and ticket movement to generate contra
  • how to make the best deals for your venue if you have charitable status
  • how to calculate, understand and know the implications of input and output vat
  • how to put all these factors into easy-to-use spreadsheets
  • how to use knowledge of deals to keep marketing spend to a minimum

A one-day Understanding Deals workshop (usually 10am-12.30pm and 1.30pm-4pm) costs £300 (+ travel) for a maximum of 4 staff. (Larger groups usually require 2 days).  Andrew brings laptops and/or memory sticks with all the course material loaded up and ready to go. All you need is a quiet room, conference table, power points – and a quick brush-up on your times-tables before he arrives!

Fundraising

We also offer a one-day workshop in Writing Trust & Foundations Bids. This workshop (again usually at your venue) also uses models based on real examples, to make it as effective for participants as possible. It covers actual (anonymous) examples of research, trust selection, making initial approaches, formulating a campaign and relevant amounts, budgeting, copywriting, tailoring a bid to a particular trust, and submission/covering letters.  Andrew says this about the course:

‘To those who have written hundreds of bids, the process seems straightforward and even repetitive, and we’re always striving for something to make our bid unique. But it’s easy to forget that the very first bid we wrote had to have some kind of blueprint, and without that it was a potentially daunting task. This workshop provides that guidance and blueprint, enabling people to write their first bid. It de-mystifies the process and hopefully puts people on the road to many successful future bids!’

The workshop covers:

  • Research; sources of information; filtering potential trusts; timing your bid
  • Making approaches; building relationships where possible
  • Preparation of financial and textual information for your bid
  • Ground Rules; Do’s & Don’ts
  • How to structure your bid, using either an application form or your own text
  • Using your structure to plan and outline your argument
  • Making your argument persuasive and convincing
  • Submitting and follow-up: Do’s & Don’ts
